Job Summary/Basic Function:

: The Front Desk Administrative Coordinator, is responsible for coordinating safe and secure entrance and exits of all students, staff, and to be the first point of contact for visitors and all incoming communications. This position performs a wide variety of administrative and support activities. They provide administrative support to the Financial Services and Admissions departments. The Front Desk Administrative Coordinator must uphold the philosophy and mission of California Aeronautical University while instilling positive and progressive attitude in all employees

Essential Duties

• Conduct all duties and responsibilities ethically and professionally
• Maintain the highest ethical and professional standards in education
• Conduct all duties and responsibilities to achieve a win-win situation for students and the University

Front Desk and Administrative Duties:
• Greet visitors, ascertain the nature of business, and direct visitors to the appropriate person
• Answers and transfer inbound calls in a professional and efficient manner
• Answer general questions from students/customers
• General office support
• Assists with projects from Admissions and Financial Services departments as needed
• Receive, sort, and deliver all central office incoming mail
• Responsible for inventory and ordering of office supplies
• Aide with walk-ins and telephone calls from students, visitors and guests
• Co-ordinate safe entrance and exits of all students, staff and visitors, ensuring they are signed in and out and that no unauthorized person gains access
• Provide a “help-desk” for students, providing general assistance to students including but not limited to, assisting student with questions, directing them to proper members of staff and faculty, ensuring students meet proper uniform requirement

Financial Services Support Duties
• Assist Financial Services office staff with student mail-outs including copying, faxing, and assembling materials to be sent out
• Prepare appropriate documents for financial services appointments
• Make out bound calls to students to coordinate financial services activities and document in the data system all communication to and from students
• Monitor student balances for flight
• Track student financial aid documents to ensure receipt and on file with appropriate signatures
• Collect payments made at the campus
• Assist the department with sending invoices and arranging payment plans to all students with balances
• Follow-up with students who are past due on their student account
• Follow-up with students who require C Flag and Verification documentation required for federal student aid eligibility
• Assist the department with preparing financial aid packages for students

Minimum Qualifications:

Experience in customer service preferred. Associate’s degree (AA) or equivalent, or six months to one-year experience and/or training; or equivalent combination of education and experience.
